Actions & Action Templates

You can create action templates to quickly add sub-actions, assigns, due dates, and dependency to your action cards. Action templates can help you quickly update repeated tasks in your projects and maintain consistency in your workspace.

To create an action template:

Go to your main menu (upper right corner)
Click "Workspace Settings"
Select "Templates"
Click "+ Create New Action Template"
Name the template and provide a label if desired.
Add sub-actions, assignees, days, and durations.

Then you save the action template, and you are done! You can also create an action template directly from an action card using the option "Save as template" under the more menu on the right.

Adding an action template to a card

Click on the blue + new button next to the search bar to create a new action card, and then select "Apply Template" under the More menu to the right. From the searchable pop-up, click on the name of the template you wish to apply. It creates the sub-actions, due dates, and dependencies from your template.

Adding multiple action templates to a card

Now you can layer several action templates on a single action card. To do so:

Apply to the card the first action template.
Select a second action template from the drop-down list
Hive will add all sub-actions, due dates, assignees, and attachments from the second action template. All data from the first template will also remain!

Adding dependencies to the template

You can not only automatically add deadlines, but you can also set dependencies. So if one step cannot move forward without the completion of another, it can be helpful to set it up.

Click on the link "+ Add dependency." It opens a search box where you

enter the step on which this step is dependent and select Add. The card will then show the dependency in bright yellow with the option to remove it.

Setting due dates on action templates

To ensure that deadlines are included when applying an action template, ensure that the option "Automatically added due date" is checked.

For the examples below, we will refer to the image to the right >>>>

Assuming that you have used positive and negative deadlines, there are two different scenarios to which we will apply deadlines:

1. If your main action card already has a deadline, you should use the Action Template at the moment:

Since you have already applied the deadline for the measure, Hive can know that you must complete the step by that particular date. Hive will set any sub-action in your action template as "Day 0" after the due date of the parent action.

All "negative" days will take place before the due date of the action, and all positive days will take place after the due date of the step, which follows the same pattern.

Using the above example for the Blog Post Action template, if you have set the deadline for the Action Card to 15 January before applying the template, if you use the Blog Post Action template:

"Draft" will be assigned for 13 January (minus two days before 15 January)
"Review" will be given for 14 January (minus one day before 15 January)
"Finalize it will set & post" for 15 January (Day 0)
"Analyze post traffic" will be charged for 21 January (plus six days after 15 January)

2. If your action currently has no deadline, when you apply the action template:

Since you have enabled deadlines and your action currently has no deadline, Hive assumes that the subaction marked as "Day 0" in the Action template is now.

Using the above example for the Blog Post Action template, if this is today 17 December

"Draft" will be set for 15 Dec (minus two days before today)
"Review" will be selected for 16 Dec (minus one day before today)
"Finalize & Post" will be set for 17 Dec (today)
"Analyzing post traffic" will be selected for 23 December (6 days after today)
